Draft for review: this text has not yet been reviewed by a lawyer and may change before Banquet Harbor is offered commercially.
This policy explains what personal information Banquet Harbor handles, why, and the choices people have. Venues decide why their clients' information is collected; Banquet Harbor processes it on their behalf.
What we handle
- Venue staff: name, email, role, password (stored only as a secure hash), sign-in sessions.
- Event planners and clients: name, email, phone, the content of inquiries and replies, offers, contracts and signatures (name, time, IP address).
- Guests: names and dietary needs or allergies a planner enters for the event, VIP notes and arrival details.
- Technical: server logs and when a proposal or contract page was opened.
Why we use it
- To answer inquiries, prepare offers and contracts, collect event details and produce documents for the venue's team.
- To send the emails the venue asks for (replies, follow-ups, proposals, document packets), and service emails such as invites and password resets.
- To keep the Service secure and working.
We don't sell personal information, use it for advertising, or share one venue's data with another.
Who helps us
- Hosting and database (Render), email sending and receiving (Resend), and AI drafting and document reading (Anthropic). They process data only to provide their service to us.
AI
Inquiry text, menus and similar material are sent to our AI provider to draft replies and read documents. Replies written with AI say so.
How long we keep it
For as long as the venue keeps its account, then deleted or returned on request, except where the law requires us to keep records.
Your choices
- Planners can stop follow-up emails with the link in each one.
- To see, correct or delete information about you, contact the venue you dealt with, or us at contact@mail.banquetharbor.com and we'll pass the request on.
Security
Data is encrypted in transit, passwords are hashed, access is limited by role, and secrets stay on our servers.
